Turn a known problem into a build-ready plan

You already know the process is broken. Process Architecture designs how it should run, end to end, and hands your team a specification detailed enough to build from, sequenced so value lands in phases instead of a big-bang rebuild.

START HERE IF THIS SOUNDS FAMILIAR

You know it is broken.
Now you need a plan to build from.

Process Architecture is the design step. If you recognize even one of these, you are ready to stop improvising and put the redesign on paper.

You already know what is broken

A Process Audit, or hard experience, showed you where the work breaks. Now you need the fix designed.

Several teams must change together

It is not one workflow. The redesign has to span departments that hand off to each other.

You want a spec, not a pitch

You need a build-ready specification your team, or a partner, can actually build from.

Quoted for a build, with no blueprint

Someone offered to build it, but nobody has designed how it should run first.

Every team runs its own version

There is no single source of truth for how the process should work, so everyone improvises.

You need phases, not a big bang

A full rebuild at once is too risky. You want a sequenced plan that delivers value in stages.

Leadership wants ROI on paper first

Before funding a build, leadership wants the numbers and the plan in front of them.

You keep rebuilding the same thing

Without a design of record, the same workflow gets rebuilt again and again.

We speak your industry

We know how your process runs, and exactly where it breaks

Pick your industry. We will walk your process the way you actually run it, name where margin and time leak, and show what Process Architecture fixes first.

A project runs through a lot of hands, and the gaps between them are where margin goes. From the bid invitation to closeout, most of the friction is not the work itself. It is the office-to-field seam, where a number gets re-keyed from one system into another and an approval sits in an inbox while a work front waits.

The process, end to end

From bid to closeout, and every handoff in between

This is the flow most general contractors run. Read left to right, top to bottom. Click any stage to reveal where it breaks.

01Business Dev
Bid invitation and go / no-go
The invitation lands, documents get pulled, and someone decides whether to chase it.
Bid docs and prior takeoffs live in one estimator's folders. Nothing is searchable, and win/loss never feeds the next bid.
02Estimating
Estimating and takeoff
Quantity takeoff and pricing build the number you bid.
The bid number is re-keyed into the job budget by hand, so estimate and budget start as two different spreadsheets.
03Procurement
Buyout and procurement
Subcontractors and materials get contracted against the awarded scope.
Scope gaps between subs surface after award, when the fix is a change order instead of a clarification.
04Project Mgmt
Preconstruction
Schedule, permits, submittals and approvals get staged before mobilizing.
A submittal or approval sits in an inbox, and a work front stalls waiting on a signature nobody can see.
05Super · Foreman
Field execution
Daily logs, RFIs, change orders, safety and QC happen on the job.
A change order agreed in the field reaches finance weeks later, and a mis-routed RFI stalls a crew on site.
06Accounting
Progress billing
Pay applications and lien waivers go out against work in place.
The pay app waits on field data consolidated by hand, so the billing cycle drags and cash flow drags with it.
07PM · Field
Closeout and warranty
Punch list, warranties and as-builts wrap the job.
Closeout documents get rebuilt from scratch at handover, because nothing was captured cleanly along the way.

Your ERP is supposed to be the backbone. In practice the shop runs on the ERP plus email, paper travelers and the spreadsheets that fill every gap. What actually happened at the machine reaches planning and costing late, by hand, or not at all, and that is the gap between the data you collect and the data you can use.

The process, end to end

From RFQ to invoice, one re-typed number at a time

This is the flow most discrete and make-to-order shops run. Read left to right, top to bottom. Click any stage to reveal where it breaks.

01Sales · Est.
Quote / RFQ
A quote goes out, often needing engineering input just to price a make-to-order job.
The quoted scope never reaches the BOM intact, so what you sold and what you build drift apart from day one.
02Engineering
Engineering: BOM & routing
The bill of materials and the routing define the recipe and the steps.
A late BOM revision cascades into a bad schedule and bad parts, and the change is communicated verbally or by email.
03Planning
Planning and scheduling
MRP sequences the work and releases it to the floor.
The schedule is built on last week's actuals, so it is already wrong by the time it hits the floor.
04Purchasing
Procurement
Materials are bought against the plan.
Buying runs on a spreadsheet beside the ERP, so shortages and excess both show up as surprises.
05Operators
Shop-floor execution
Operators run the work orders and log machine time, labor and scrap.
Production actuals reach planning and costing late, on paper travelers or by re-keying, so nobody trusts the numbers.
06Quality
Quality and QA
Inspections and nonconformances are recorded against the job.
Quality records are kept manually, and an audit would reveal gaps the team did not know were there.
07Warehouse
Inventory and shipping
Stock is managed, shipments are staged and sent.
On-hand counts and the system disagree, so shipping chases parts that the screen says are there.
08Finance
Finance and invoicing
Jobs are costed and invoiced against actuals.
Job costing is approximate rather than real, because the actuals arrived by hand and days late.

Your economics turn on one thing: how cleanly a job moves from the person who takes the call, to the dispatcher, to the tech in the truck, to the back office that invoices it. When that chain is manual, the paperwork piles up on your best people, trucks roll twice, and you get paid late.

The process, end to end

From the first call to getting paid

This is the flow most field-service and trades shops run. Read left to right, top to bottom. Click any stage to reveal where it breaks.

01Call Center
Intake
An inbound request or lead comes in and becomes a job to schedule.
A vague or mis-captured request sends the wrong tech, or the right tech without the right parts.
02Dispatcher
Scheduling and dispatch
The dispatcher matches the tech, the skills and the parts to a time slot.
Phone-and-whiteboard dispatch cannot match cleanly, so you pay for overtime, windshield time and missed SLAs.
03Technician
Dispatch and travel
The tech is routed and travels to site.
Last-minute changes reach the tech by text or not at all, so the truck arrives with yesterday's information.
04Technician
On-site work
Diagnosis, service or repair, and the parts used on the job.
A first-time-fix miss means a second truck roll, the most expensive failure mode in the business.
05Technician
Data capture
Forms, photos, signatures, time and materials get recorded.
It is written once on site and re-typed later into invoicing and payroll, slow and error-prone.
06Back Office
Invoicing and payment
The job is invoiced and payment is collected.
Invoicing waits on paperwork coming back from the truck, so the cash-conversion cycle drags for days.
07Sales · Service
Follow-up and agreements
Maintenance agreements, recurring service and upsell.
Recurring work lives in someone's memory, so renewals and service agreements quietly lapse.

WHERE THE MARGIN LEAKS

The problem is not the tools.
It is the seam between them.

Disconnected systems and double data entry

Half of firms move data between apps by hand and a large share use spreadsheets to do it, so the same number is entered several times across several systems, multiplying error and rework.

Time lost hunting and fixing

Professionals spend roughly a third of their time on non-productive work, finding project information and correcting mistakes that came from poor data, before a single nail goes in.

The office-to-field disconnect

Field decisions are slow to reach the PM and finance, approvals sit stuck in email, and the jobsite and the office are never looking at the same picture at the same time.

Billing that waits on paperwork

Because pay applications depend on field data pulled together by hand, the billing cycle stretches, and the cost of that delay lands squarely on cash flow.

HOW IT WORKS

From a known problem to a plan your team can build

STEP 1

Target-state workshops

We map how the work should run with the people who run it, workflow by workflow.

STEP 2

Design and specify

We turn it into a future-state design, a build-ready spec, and a phased roadmap, with success criteria for each workflow.

STEP 3

Hand off a plan you can build

You get a blueprint your team or ours can build from, sequenced so value lands in phases, not a big-bang rebuild.

WHAT YOU ACTUALLY RECEIVE

A blueprint your team can build from

A concrete, build-ready design: the future state of every workflow, a specification detailed enough to build from, and a phased roadmap with success criteria.
